FOR FREELANCERS

I Compared Tax Accounting Services For 33 Freelancers In One Group Chat. The Gap Was $14,600.

Same income, same bracket, a $5,600 gap in one quarter. Here is what caused it.

It started when Mara, a brand designer in Austin, posted her Q2 estimated payment in our Slack channel: $4,100 on $91,000 of income. Within the hour a copywriter earning almost the same posted hers: $9,700. So I pulled the numbers on all 33 members, and the pattern was hiding inside who was handling their taxes, and how.

One Slack channel. Thirty-three returns.

$14,600

less paid per year by the six who had someone watching in July

I made almost the same income as Mara and paid twenty-three hundred dollars more in one quarter alone. I thought that was just what freelancing cost. Once my structure got reviewed and my estimates were calculated off real numbers, my next quarterly payment dropped by $2,100.

The Story

Two freelancers, one income, a $5,600 gap nobody could explain

Mara and Priya earn within a few thousand dollars of each other. Same bracket, same 15.3 percent self-employment rate, same city. One paid $4,100 for Q2 and the other paid $9,700. Thirty-three people in the thread and not one of them could say why, so I asked to see everyone's returns.

The Problem

An accountant who files your return is not planning your taxes

Every complaint in that thread came in three flavors: I had no idea I would owe this much, I know I am missing write-offs but I am scared to claim them, and my accountant just does my return. That last one explained most of the gap. Nineteen of the 33 were paying someone every spring to file a return built on decisions that had already been made and could no longer be undone. Nobody in that channel was bad with money. They were freelancers using tools built for employees while being taxed like business owners.

What We Tried

TurboTax, a friend's CPA, and 25 percent just in case

Most of them had already tried to fix it. The DIY crowd ran TurboTax. The rest paid a generalist CPA found through a friend. A few set aside 25 to 30 percent of every invoice and hoped it covered the bill, and it rarely did. Each option solved the filing and left the actual problem, someone watching the numbers in July, untouched.

Do this today: Write down who calculated your last quarterly payment. If the answer is a formula you found online, keep reading.

Coffee at green desk
TurboTax, a Yelp CPA, or 25 percent set aside and crossed fingers. Most of the 33 had tried all three.

The Discovery

Bucket three paid $14,600 less a year on the same income

I sorted the group by how they handled taxes, not how much they earned. Bucket one self-filed, bucket two paid a CPA once a year, and bucket three, just six people, worked with a service that ran quarterly estimates, tracked deductions monthly, and reviewed entity structure before tax season. Bucket three paid an average of $14,600 less per year than bucket one. None of it came from gray-area write-offs.

What saved bucket three $14,600 a year

  • Entity structure reviewed before the S-corp point, not three years after
  • Deductions logged in real time instead of reconstructed in March
  • Quarterly estimates calculated from current income, not last year's
  • Someone watching the numbers in July, not just April
  • Aggressive or gray-area write-offs
  • A loophole

The FixAMADAE

Two members of the channel were already on Amadae

Their numbers were bucket three. Amadae is built around the actual shape of freelance income: irregular deposits, mixed spending, and a tax bill that used to arrive as a surprise. A dedicated team of real accountants tracks income and expenses monthly, calculates quarterly estimates off what you are earning right now, and reviews the S-corp question before it costs you a year. Books, payroll, and taxes in one flat monthly price, and you can text your accountant.

The Proof

Priya's next quarterly payment dropped by $2,100

Priya, the copywriter who posted the $9,700, switched to Amadae the following quarter. Her structure got reviewed and her estimates started coming off real numbers instead of an online formula. She was not earning less. She was finally being taxed correctly.

I made almost the same income as Mara and paid twenty-three hundred dollars more in one quarter alone. I thought that was just what freelancing cost. Once my structure got reviewed and my estimates were calculated off real numbers, my next quarterly payment dropped by $2,100.

Why NowAMADAE

The September 15 estimate is calculated off this summer

Summer makes this easy to ignore, but the third quarterly deadline lands September 15 and it is based on the income you are earning right now. The freelancers who fixed this did not wait for a calmer month. The intro call is free, there is no long-term contract, and if you are already in good hands we will say so.

Questions creators ask us

I don't earn enough for this to matter yet.+

The data disagreed. Freelancers in bucket one making $58,000 often lost a higher percentage to preventable mistakes than the ones making $130,000, because smaller margins make every missed deduction and mistimed payment hurt more.

I already have an accountant.+

Filing your return and strategizing your taxes are two different jobs, and almost none of the generalist CPAs in that thread were doing the second one. The intro call will tell you honestly whether yours is.

Won't more write-offs get me flagged for an audit?+

The opposite tends to be true. Deductions documented in real time with a paper trail attached are what protect a return. The freelancers most likely to get flagged are the ones guessing in March with no records.

What does it cost?+

Plans start at $249 a month, flat. No hourly bills and no surprise invoice in April.
