FOR STARTUP FOUNDERS

I Reviewed Small Business Bookkeeping Services For 31 Founders. 24 Didn't Know Their Real Runway.

(Your Books Are A Photograph From Six Weeks Ago)

This summer we audited the books behind 31 early-stage companies. Twenty-four were hiring, pricing, and even fundraising on numbers that were stale by the time anyone looked. If you are running on a bank balance instead of a real P&L, this is why, and what to do about it before Labor Day.

Thirty-one founders. One summer.

founders were deciding on stale numbers

I found out in one call that my bookkeeper hadn't reconciled anything in seven weeks. Amadae had my real cash position back in my hands by Friday.

Your bank balance is lying, and it's not even trying

A DTC founder we will call Marco checked his business checking before a Tuesday board call, saw $214,000, and told his board he had five months of runway. Once you subtracted $38,000 in outstanding vendor invoices and the payroll batch that had not cleared, his real runway was closer to eleven weeks. Bank balance feels safe because it is a real number on a real screen, but it counts money already spoken for.

Do this today: Pull your outstanding invoices and every payroll or vendor payment due in the next 14 days, then subtract them from your balance. That is your real cash position.

The receipt you tossed in June is a deduction you miss in April

One founder had a home office, a co-working membership, and three client dinners a week during a fundraising sprint, all on a personal card because the company card was for bigger stuff. None of it reached the books. By April an estimated $6,200 in deductions were gone because nobody could reconstruct three months of Uber Eats and WeWork day passes.

Do this today: Route every business expense, even the $9 ones, through one dedicated business card this month.

Most bookkeeping services show you history, not now

Traditional bookkeeping runs on a monthly reconciliation cycle, so the report you get on July 15 describes June. That is not a bug, it is the business model. For a founder deciding whether to make an offer this week, a report about last month is close to useless. Twenty-four of the 31 founders did not know their books were six weeks behind until we asked them to pull July and they physically could not.

Do this today: Ask whoever does your books how current your P&L is right now. If the answer is more than two weeks old, you have a visibility problem.

Bookkeeping that closes in real time, not six weeks late

Instead of a bookkeeper who reconciles once a month and emails a PDF, Amadae gives founders a live view: transactions categorized daily, burn rate updated as they post, and a real accountant who knows your business instead of processing it in a batch queue. Monthly close becomes a rolling, always-current picture of cash. Pricing is a flat monthly fee, not an hourly meter that punishes you for asking questions, and it starts with a free review of your current books.

7 of 31 owed sales tax in a state nobody registered them in

Seven companies in the review had crossed an economic nexus threshold in another state without realizing it. One ecommerce founder found out because a state sent a notice, not because anyone flagged it internally. Nexus thresholds trigger the moment you cross a revenue or transaction count in a state, often silently, often months before anyone notices.

Do this today: Pull a state-by-state revenue breakdown for the last 12 months and check it against each state's threshold before Q4 planning starts.

Your summer trip is costing you a fall tax bill

Founders took roughly three trips on average this season, mixing business and personal time without tracking which was which. That blurred line becomes an ugly surprise around the September 15 estimated deadline, when a quarter of underpaid tax comes due at once. The founders who felt calmest in September were the ones who kept their quarterly estimates current all along.

Do this today: Before your next trip, confirm your Q3 estimated payment is calculated and scheduled.

Bonus: The 15-minute review that found $61,000 before a Series A

Earlier this year we reviewed the payroll and tax setup for a startup mid-raise and caught a $61,000 error that would have surfaced in diligence, the kind of mistake that makes an investor walk. That is the premise of the free review: 15 minutes on a call, a look at your actual books, and a straight answer about whether your setup survives diligence or a bad month. No contract required to find out.

Straight answers

Questions creators ask us

I already have a bookkeeper. Why would this be different?+

Most bookkeepers close last month, once a month, and email a PDF. Amadae categorizes daily and keeps burn and runway current, so the number you quote your board is the number in the bank.

Can you handle sales tax nexus too?+

Yes. Your accountant checks state-by-state revenue against thresholds each quarter so a registration is not something you learn about from a state notice.

What does the free review involve?+

Fifteen minutes on a call and a look at your actual books. You leave with a straight answer on whether your setup would survive diligence or a bad month, no contract required.

One real look at your numbers before the deadline finds you

You do not need to overhaul everything today. Fifteen minutes with a startup accountant tells you where your books actually stand before September 15.
